We are seeking a dynamic Guest Relations Administration Representative to join our team on a seasonal contract. The successful candidate will ensure seamless communication and reservations of all on-site winery experiences, as well as support Event execution and Wine Lodge administration. The ideal candidate will be self-motivated, personable, have exceptional communication skills, and is confident using technology.

The successful candidate will be accountable for:

  • Assisting in planning and executing all onsite, private and offsite winery events including helping to maintain budgets and act as a liaison with suppliers and entertainers.
  • Providing leadership on event days, including set up, tear down and direction to event support teams.
  • Answering phone lines and greeting guests as they enter the office; redirecting and assisting accordingly.
  • Maintaining daily office administration including mail, checking and distributing faxes, distribution and coordination of courier packages, ordering office/staff room suppliers, etc.
  • Data entry for new on-site program participation.
  • Monitoring and responding to any inquiries via booking platforms such as OpenTable and Winery Direct.
  • Maintaining stock for voucher program at referral hotel, resorts and tour companies.
  • Managing all aspects of the wine lodge, including communication with guest, update lodge package, coordination with cleaners and groundskeeper, assuring lodge is properly stocked with basic incidentals.
  • Following safe work procedures and practices and reporting all unsafe working conditions/hazards to Manager.

The ideal candidate will possess the following qualifications/skills:

  • Proven success in a customer facing role.
  • High proficiency using Microsoft Office Suite & overall computer abilities.
  • Successful completion of a Criminal Record Check prior to offer as per the Payment Card Industry Data Security Standard (PCI DSS) requirement 12.7.
  • Self-motivated; able to multi-task and prioritize tasks.
  • Strong planning, organizational and execution abilities.
  • Post-secondary education with an emphasis on tourism and/or customer service is preferred.
